1. Scope
InstaReplAI uses AI to help businesses handle customer conversations. AI features may generate drafts, send automated replies, classify intent, detect sentiment, summarize conversations, suggest actions, route messages, book appointments and use business knowledge to answer questions.
2. Business responsibility
You are responsible for the business information, instructions, knowledge base, policies, prices, offers, response rules and channels you configure. You are also responsible for deciding whether AI replies are drafts requiring approval or messages that may be sent automatically.
You must review high-risk workflows, test the agent before launch, monitor customer impact and correct inaccurate business information. AI outputs do not replace professional judgment, customer support accountability or legal compliance.
3. Transparency and disclosure
Where law, platform rules or customer expectations require disclosure, you must tell people when they are interacting with AI or when AI materially assists a reply. In EU contexts, AI systems that interact with people may require transparency notices unless an exception applies.
InstaReplAI may provide disclosure tools, labels, templates or settings. You remain responsible for enabling them where required and for ensuring disclosures fit your business, market and connected channel.
4. Restricted uses
You must not use AI features to:
- mislead people into believing they are speaking to a human when disclosure is required;
- send spam, phishing, scams, impersonation, fake reviews or deceptive commercial messages;
- make legal, medical, financial, credit, employment, housing, insurance or other high-impact decisions;
- generate unlawful, discriminatory, harassing, sexual, hateful, violent or exploitative content;
- evade platform rules, consent requirements, rate limits or anti-abuse systems;
- process special category, sensitive or children's data without required rights, safeguards and consents.
5. Inputs and outputs
You retain rights to your business content and customer data. Subject to the Terms of Service, you may use outputs generated for your workspace. Because AI can produce similar outputs for different customers, you do not receive exclusive rights in generic AI-generated language or patterns.
We may block, rate-limit, modify or refuse prompts, uploads or outputs when needed to protect safety, comply with law, enforce provider rules or prevent abuse.
6. Training and improvement
Customer data is used to provide and improve the requested workspace features. We do not sell customer conversation data. Use of customer data for model training beyond providing and improving the service will be governed by the Privacy Policy, DPA, provider settings and any required consent or contract terms.
7. Monitoring and logs
InstaReplAI may log prompts, outputs, timestamps, channel metadata, confidence, safety events, token usage and handoff decisions to provide the service, debug issues, enforce limits, investigate abuse and support auditability. Retention is described in the Data Retention Policy.
8. Model and provider changes
We may change AI providers, models, routing, safety controls and feature behavior to improve performance, manage cost, comply with law or maintain availability. Material changes that affect privacy or customer obligations will be reflected in the applicable legal pages.
