Scope
This policy applies to paid InstaReplAI subscriptions, usage-based features, add-ons, trials, renewals, service credits and refund requests. It forms part of our Terms of Service. If a separate written agreement applies, that agreement controls where it conflicts with this policy. Payment provider, merchant legal entity, tax registration and final checkout wording are TBD pending incorporation and production billing setup.
InstaReplAI is a usage-based software service. Fees pay for platform access, AI replies, automation, infrastructure, third-party integrations, support, storage and related processing. Except where required by law or expressly stated in this policy, charges for services already provided or consumed are not refundable.
Subscriptions and renewals
Paid plans renew automatically for the billing interval selected at checkout unless cancelled before the renewal date. The checkout page or order flow will show the plan, price, billing interval, renewal terms and any trial or promotional conditions before payment is submitted.
Taxes, currency conversion, payment method fees and third-party charges may vary by location and payment provider. Plan limits, usage counters and available features may differ by plan and may be enforced automatically.
Cancellations
You may cancel a subscription from the dashboard billing area or by contacting support if dashboard cancellation is not available. Cancellation stops future renewals. Unless required by law or approved under this policy, cancellation does not automatically refund the current billing period.
If you cancel during a paid period, your workspace may remain available until the end of the already paid billing period, subject to the Terms of Service, payment status, security rules and acceptable use limits.
Refund eligibility
We may approve a full or partial refund only when the request is supported by our records, payment processor data and applicable law. Refunds are evaluated against usage, access history, billing period, service availability, plan limits and any WDRIM or referral rewards created by the transaction.
Refunds are generally eligible only for:
- duplicate charges or clear payment processor errors;
- charges made after a confirmed cancellation due to our error;
- paid service that was not activated or materially not provided because of an issue under our control;
- legally required refunds or withdrawal rights that apply in the customer's jurisdiction;
- goodwill exceptions approved by us in writing.
Refunds are generally not provided for:
- AI replies, automation, storage, support, integrations or platform access already consumed;
- unused time in a billing period after cancellation, unless required by law or approved by us;
- customer configuration mistakes, missing credentials, inaccurate business data or disabled channels;
- third-party outages or policy restrictions from Meta, Google, WhatsApp, Telegram, Stripe or other providers;
- failure to cancel before renewal when the renewal terms were disclosed and cancellation was available;
- accounts suspended or terminated for non-payment, unlawful use, abuse, spam or policy violations.
Partial refunds and service credits
When a full refund is not appropriate, we may offer a partial refund, account credit, service credit, usage credit or additional service time. Service credits are not cash, are not transferable and may expire if not used within the period stated when issued.
For usage-based plans, any approved partial refund may be reduced by the value of days used, AI replies generated, add-ons activated, provider costs, discounts, promotional credits and rewards already granted.
Consumer rights and regional rules
InstaReplAI is primarily offered to business customers. If you use the service as a consumer, mandatory consumer protection laws in your country or state may give you additional rights that this policy does not limit.
For customers in the European Union, United Kingdom or similar jurisdictions, statutory withdrawal rights may apply to distance contracts. Where permitted by law, by requesting immediate access to the service, connecting channels, generating AI replies, using the dashboard or consuming usage before the withdrawal period ends, you request immediate performance and agree that any refund may be reduced to reflect the service already provided. If applicable law gives you non-waivable rights, those rights remain unaffected.
For customers in the United States, subscription terms, renewal terms and cancellation methods will be disclosed before checkout. State-specific automatic renewal or cancellation rights may apply where required by law.
WDRIM rewards and referral adjustments
If a transaction creates WDRIM cashback, referral rewards, credits, coupons or ecosystem benefits, any refund, chargeback, reversal, cancellation or payment failure may reduce, cancel, claw back or reverse those rewards.
Pending rewards may be cancelled before maturity. Matured rewards may be offset through a negative ledger entry, adjustment, future credit reduction or other correction method allowed by the Witdrim ecosystem rules. We do not guarantee rewards on refunded, disputed, fraudulent or unpaid transactions.
Payment disputes and chargebacks
If you believe a charge is wrong, contact us before opening a payment dispute so we can review the account and payment record. We may provide the payment processor with evidence including signup consent, checkout terms, cancellation history, usage logs, access logs, invoices, support history and service delivery data.
Accounts with open disputes, chargebacks, suspected fraud or unpaid balances may be suspended while the issue is investigated. Chargeback fees, negative balances and payment processor costs may be handled as allowed by law and the Terms of Service.
How to request a refund
To request a refund or service credit, contact support@instareplai.com with the account email, workspace name, invoice number, payment date, amount, reason and any supporting information. We may require identity, account or payment verification before reviewing a request.
Approved refunds are normally sent back to the original payment method through the payment processor. Processing times depend on the payment method, card network, bank and region. Refunds do not guarantee that all processor fees, taxes, currency conversion costs or bank charges are returned.
